Aegisant Insurance Services ("Aegisant," "we," "us," or "our") is a licensed insurance services platform operating in California. We facilitate the marketing, solicitation, and placement of preneed funeral insurance policies through licensed insurance agents and partnered funeral homes.
As a company that collects nonpublic personal financial information in the course of providing insurance-related services, Aegisant is subject to the Gramm-Leach-Bliley Act (GLBA) and its implementing regulations. As a business that collects personal information from California residents, we are also subject to the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA).
2. Information We Collect
From Preneed Insurance Applicants and Insureds
- Full legal name, date of birth, Social Security Number
- Residential address, phone number, email address
- Health history and responses to medical underwriting questions
- Beneficiary name and relationship
- Funeral service preferences (disposition type, service selections, merchandise choices)
- Electronic signature and consent records, including IP address and timestamp
From Licensed Insurance Agents
- Full legal name, contact information, mailing address
- State insurance license number(s) and licensing jurisdiction(s)
- Social Security Number (for commission tax reporting, IRS Form 1099)
- Electronic signature and consent records
From Funeral Home Representatives
- Funeral home business name, address, phone, and email
- Funeral home license number and state of licensure
- Federal Tax Identification Number (TIN/EIN)
- Representative name, title, and electronic signature
Technical Information Collected Automatically
- IP address (collected at the time of electronic signature consent)
- Browser type and operating system (for electronic signature audit trails)
- Pages visited and actions taken within authenticated portal sessions
3. How We Use Your Information
We use the personal information we collect for the following purposes:
- Processing and submitting preneed insurance applications to our carrier partner, Great Western Insurance Company
- Generating, completing, and storing insurance application documents and required forms
- Facilitating electronic signatures and maintaining legally required signature audit trails
- Communicating with agents, funeral homes, and applicants about application status, approvals, and required corrections
- Calculating, recording, and reporting agent commissions, including required IRS tax reporting
- Verifying and maintaining insurance agent licensing records
- Complying with federal and state insurance regulations, licensing requirements, and legal obligations
- Maintaining the security and integrity of the platform
5. We Do Not Sell Personal Information
Because we do not sell personal information, we do not offer a "Do Not Sell My Personal Information" opt-out mechanism. There is nothing to opt out of.
6. Data Security (GLBA Safeguards Rule)
In accordance with the GLBA Safeguards Rule, Aegisant maintains a written information security program designed to protect the nonpublic personal information we collect. Our security measures include:
- Encryption of sensitive data fields at rest (including Social Security Numbers, financial information, and health data)
- Encrypted HTTPS transmission for all data in transit
- Role-based access controls: agents can only access their own applications; funeral homes can only access applications associated with their facility
- Two-factor authentication (2FA) available and encouraged for all portal users
- Production environment configured with DEBUG mode disabled
- Electronic signature audit trails with IP address, timestamp, and consent record retention

7. Data Retention
We retain personal information for as long as necessary to provide our services and comply with our legal obligations. Insurance application records, signed documents, and associated personal information are retained in accordance with applicable state insurance regulations and our contractual obligations with Great Western Insurance Company, typically a minimum of five (5) years following the termination or expiration of a policy.
Agent commission and tax records are retained for a minimum of seven (7) years as required for IRS compliance.
You may request deletion of your personal information (see Your Rights below), subject to our retention obligations under law and contract. Where deletion is not possible due to legal requirements, we will inform you and restrict further use of your data.
8. Your Rights: California Residents (CCPA/CPRA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA):
Right to Know
You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the purposes for which we collected it, and the categories of third parties with whom we shared it.
Right to Delete
You have the right to request that we delete personal information we have collected from you, subject to certain exceptions (including our legal obligation to retain insurance records).
Right to Correct
You have the right to request correction of inaccurate personal information we maintain about you.
Right to Non-Discrimination
We will not deny services, charge different prices, or provide a different level of service because you exercised any of your privacy rights.
How to Submit a Request
To exercise any of the rights above, use the contact form in Section 11 of this policy. Please include your full name and, if you are an applicant or insured, the approximate date of your application. We will respond within 45 days as required by law.
Note for agents and funeral home representatives: Certain information you provide (such as license numbers and TINs) is collected in your professional capacity and may be subject to different retention requirements than consumer personal information.
9. Children's Privacy
Aegisant's platform is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please use the contact form in Section 11 and we will promptly delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of the Aegisant platform after changes are posted constitutes your acceptance of the updated policy.
